How do I write better AI prompts to get useful business results?
Better prompts give the AI a role, context, a clear task, and a desired format. Instead of 'write a marketing email,' say: 'You're a B2B copywriter. Here's my product and audience [details]. Write a 120-word cold email with a curiosity subject line and one clear CTA.' Add examples of what 'good' looks like, ask for the output format you need, and iterate, the second and third pass usually beat the first.
Use a simple structure you can reuse: Role (who the AI should act as), Context (your business, audience, constraints), Task (exactly what you want), and Format (length, tone, structure, examples). Frameworks like RTF (Role-Task-Format) or RACE (Role-Action-Context-Expectation) just formalize this. The single biggest upgrade for most people is adding specific context, your actual customer, product, and goal, because vague prompts produce generic output.
Give examples and constraints. Show one or two samples of the style you want ('write like this'), state what to avoid, and specify the audience's level. For analysis tasks, ask the model to think step by step or show its reasoning; for high-stakes tasks, instruct it to say 'I don't know' rather than guess. Iterate in the same chat, tell it what to fix, rather than starting over.
Build a personal prompt library so you stop reinventing prompts. Save your best prompts for recurring jobs (emails, social posts, summaries, analysis) as reusable templates with bracketed blanks. Honest note: prompting won't fix a task the model genuinely can't do or compensate for missing context only you have, so feed it real inputs (your data, your brand voice) rather than expecting it to invent specifics correctly.
